Exciting opportunity to join a growing multimedia company working directly for the CEO, Marc Lotenberg.  As the Executive Assistant to the CEO, you’ll play a fundamental role in ensuring he is well organized and well prepared for daily, weekly and quarterly meetings and commitments; you will also play the office manager function with the traditional duties that role entails.  You will be responsible for anticipating and executing the complex and dynamic needs of the Chief Executive.  This role requires a self-starter with excellent time management, organization and communication skills.  As you'll be handling details of a confidential and critical nature,  utmost professionalism is expected.  



  • Complete all tasks as requested by CEO
  • Coordinate with editorial and sales teams to make sure the CEO has the editorial plan sheets for each issue 
  • Compile and maintain contact lists (for personal mailings, Design Dialogues, company events, etc.)
  • Coordinate CEO’s calendar and schedule meetings
  • Book flights and arrange travel and hotels for CEO
  • Help CEO keep inbox organized and clean
  • Return calls to CEO as requested
  • Execute all mailings and messengering as requested by CEO

Management Coordination:

  • Work with various members of the company to ensure daily tasks and reports are completed for CEO
  • Project manage/ensure timely financial reporting and overall project management of tasks needed by investors
  • Handle and organize all incoming documents to CEO 
  • Create a streamlined timeline for departments to reduce bottlenecks

Brand Development:

  • Work on VIP mailers/thank you/gifting program
  • Look into other packaging solutions with company design team 


  • Bachelor's degree with two to four years related experience and/or training; or equivalent combination of education and experience
  • Experience in executive administration
  • Interest in and knowledge of contemporary design and luxury brands
  • Excellent communication, writing, presentation, and interpersonal skills
  • Entrepreneurial spirit and willingness to take initiative
  • Strong attention to detail
  • Comfortable dealing with creative and commercial contacts in a friendly, efficient and professional manner
  • Outstanding organizational skills and the ability to prioritize tasks and manage multiple projects simultaneously
  • Ability to handle confidential information with discretion
  • Ability to be flexible and adaptive in an evolving environment
  • Ability to prioritize and meet tight deadlines while demonstrating poise, resourcefulness and the highest level of professionalism
